CRM & Nurture (ZenData)
Every lead tracked to collected revenue — and every unbooked lead worked until it converts
Marketing you cannot measure cannot be improved. ZenData CRM tracks every lead from first click to collected treatment, so you see exactly which channel produced each seated case. Around it we build the nurture layer: SMS and email sequences, dead-lead reactivation, no-show and treatment-plan-not-paid recovery, and a live revenue dashboard your whole team can read.
A new implant lead that does not book in the first two weeks is not a lost lead; it is a normal patient on a slower decision. Most practices stop after two voicemails and an email, which means the majority of the leads they paid for are never worked. The CRM and nurture layer exists to change that. Every lead gets a sequence matched to where they are in the decision, every unscheduled treatment plan and every missed consultation gets a recovery path, and the dormant list of past consultations is reactivated on a schedule. Because it all runs through one CRM, every booking and every collected case is attributed to the channel that produced it.

Inside the system
Nurture sequences built around the implant decision
Pre-consultation sequences recognise the lead, build trust with the surgeon's credentials and patient stories, answer the financing question directly and then ask for the appointment — across SMS and email, with behaviour triggers that change the sequence when a patient opens the financing page or replies. Post-consultation sequences work the treatment plan that was presented but not accepted. Messages are spaced to feel like a practice following up, not a campaign, and stop the moment the patient books or asks them to.
Reactivation: the revenue already sitting in the CRM
Every established implant practice has past consultations who were qualified and did not sign. We segment that list by procedure interest, recency and the reason they paused, run a multi-channel reactivation sequence with an offer the practice is comfortable standing behind, and pair it with retargeting ads so the message is seen in more than one place. Reactivation runs quarterly, and the scorecard shows consultations and collected cases from the campaign, not open rates.
Retention and attribution
The same system holds the patient after delivery: post-op communication, implant-specific hygiene recall that does not drift, a referral ask built into the flow, and a reactivation path for the opposite arch. Underneath it all, call tracking, form tracking and ad-platform attribution feed a live revenue dashboard, a weekly scorecard and a monthly business review, so the practice owner can see which channel produced each seated case.

All FAQs →What's the right way to track marketing ROI on implant cases?
- Track cost per seated case, not cost per lead. Every ad click needs UTM tags, every lead needs a source field in the practice management system, and every seated case must reconcile back to its original touchpoint. Tools like CallRail, HighLevel, and Looker Studio dashboards make this auditable and produce trustworthy ROI numbers.
How many dormant consultations does a typical implant practice have in its CRM?
- An established implant practice that has been operating for 5+ years typically has 400 to 2,000 unconverted consultations in its CRM. Even after filtering for high-probability reactivation candidates — recency, treatment plan value, engagement, original objection, and geography — most practices end up with 150 to 700 patients in their active reactivation target pool, representing substantial recoverable revenue.
What conversion rate should we expect on a reactivation campaign?
- Across more than 80 implant practices running structured reactivation campaigns, the average same-quarter conversion rate is 6.8%. The range is 3% on the low end for poorly executed campaigns and 14% on the high end for tightly targeted campaigns with strong offers. A practice with 300 patients in its reactivation target pool should expect 18 to 30 booked consultations and 12 to 22 signed cases per quarterly cycle.
